300-Person Corporate Conference

For a 300-person conference, I would not use the entire ballroom.

Instead, I would airwall off unused sections (if available) or use pipe and drape to reduce the room size. A smaller footprint creates:

• Better camera shots for recording or streaming

Why?

This ballroom has:

• High ceilings
• Large open space
• Significant ambient daylight

LED will outperform projection during daytime events and creates a premium appearance suited to this flagship venue.

Projection would still work, but in this room it feels more like the budget option.

This provides excellent audience coverage while keeping costs lower than an LED wall.

Premium Conference

If this is a shareholder meeting, national sales conference or product launch:

• Dedicated playback system
• IMAG cameras for presenter close-ups
• Professional show calling

This room can easily support a much higher production level.

Hybrid Event

Princes’ Gates Ballroom is one of the better hybrid venues in Toronto because it has space for:

• Control position at the rear
• Dedicated streaming area
• Media risers
• Interpreter booths (when required)

Stage Size

For 300 attendees:

A 12′ × 24′ stage works well.

For larger productions:

Increase to:

• 16′ × 32′
• 20′ × 40′

depending on the programme.

Audio

Because the ballroom is significantly larger than needed for 300 attendees:

A distributed PA is preferable to simply increasing volume.

If only part of the ballroom is used, a modest left/right PA with front fills will provide excellent speech clarity.
